How to keep the accounts of an agro shop
Credit in a diary, stock in your head and bills in another app makes the accounts go wrong. Here is a simple routine for an agro shop.
1. Make every bill in one place
Make GST bills and plain bills in the same software, so the number series do not mix and no bill is missed.
2. Write credit in the farmer's account
Keep a separate account for each farmer: what was taken, what was paid and what is due. Write a payment date on the bill so you know when to ask.
3. Record every payment the moment it comes
Cash, UPI or bank, record it at once. Record part payments too. This keeps old dues clear.
4. Write expenses daily
Rent, electricity, salary and freight, each with a category. At the end of the month you get a true idea of the profit.
5. Link stock to the bill
When stock goes down as you make a bill, you do not write it separately and the count stays right.
6. Look at the reports every month
Check sales, purchases, GST summary, profit and loss and outstanding dues. Your CA needs the same reports.

Frequently asked questions
How should an agro shop keep its accounts?
Record bills, credit, payments, expenses and stock in one place, and look at the reports once a month. In software this all links up by itself.
How do I keep track of farmer credit?
Keep a separate account for each farmer, add the unpaid part of every bill to it and record every payment. AgroKhata does this automatically.
