Terms & Conditions

The rules for using AgroKhata - written to be read, and fair to both sides.

Last updated: 28 October 2026

In short

  • AgroKhata is a SaaS product of DMSync Infotech. You pay for a plan, we run the software.
  • Your shop's data is yours. We only use it to run the service for you.
  • There is no automatic renewal. Plans end on their end date unless you renew.
  • You can ask for a refund within 7 working days of a purchase - see the Refund Policy.
  • You are responsible for your licences, your tax filings and for having permission to message your customers.

1. About these terms

These Terms & Conditions ("Terms") are a contract between you and DMSync Infotech ("we", "us", "our"), the company that owns and operates AgroKhata (the "Service"), available through this website and any related pages. By registering for, logging in to or using the Service you agree to these Terms, our Privacy Policy and our Refund Policy. If you use the Service for a business, you confirm that you are allowed to accept these Terms for that business.

If you do not agree, please do not use the Service. We may update these Terms from time to time; the "Last updated" date above tells you when. If a change is important we will tell you in the app or on WhatsApp. Using the Service after a change means you accept it. If you do not accept a change you can stop using the Service and, where the Refund Policy applies, ask for a refund.

2. The service

AgroKhata is cloud software for billing, stock, farmer / customer ledgers, reports and WhatsApp messaging for agro shops. We may improve, change or add features over time. We may also remove a feature, but if that materially reduces what you paid for we will give you reasonable notice.

Each plan has limits that are shown on the pricing page and in My Plan (for example the number of bills per month and customers). To protect the quality of the service for everyone, plans may also carry fair-use limits on other usage such as products, suppliers, staff logins and WhatsApp messages. If you reach any limit you will see a message in the app and you can contact us to move to a suitable plan. A limit is never a reason to lose the data you already have.

3. Accounts

  • You must be at least 18 years old and use AgroKhata for your business.
  • Register with your real name and your own mobile number. We verify the number with a one-time password (OTP) sent on WhatsApp. Give correct information and keep it up to date.
  • You are responsible for your password, for everything done under your account and for the staff logins you create. Tell us immediately if you think your account has been misused.
  • One account belongs to one shop. Please do not share a login between different businesses.

4. Plans, prices & payment

  • Plans are sold for a month or a year. The price you see when you buy is the price you pay. Prices on the website are shown with GST where GST applies, and the checkout shows the final amount before you pay.
  • Payment is made online through third-party payment gateways such as Razorpay, Cashfree or PayU. We do not see or store your card, bank or UPI details; they are handled by the gateway under its own terms.
  • Your plan starts as soon as the payment is confirmed. After payment we issue a GST invoice (or a bill of supply where GST does not apply) and send you the link.
  • No automatic renewal. We never charge you again on our own. When your plan ends you can renew it from My Plan. We may send you a WhatsApp message before and after the end date to remind you.
  • If you renew a plan that is still running, the new period is added after the current one. If you switch to a different plan, the new plan starts on purchase; unless the Refund Policy applies, we do not give pro-rata credit for the unused part of the earlier plan.
  • We may change our prices. A change applies only to purchases made after it is published; a plan you have already paid for is not affected.
  • If a payment fails but money is deducted from your account, the gateway or your bank reverses it, or we refund it, as explained in the Refund Policy.

5. Refunds

You may ask for a refund within 7 working days of buying a plan, and approved refunds are paid back to the original payment method within 5-7 working days. The full details, including how to ask, are in the Refund Policy, which forms part of these Terms.

6. Your data

  • It is yours. You own the information you put into AgroKhata - your shop details, products, stock, bills, payments, farmers' and customers' details and so on ("Your Data"). We do not claim ownership of it.
  • What we may do with it. You allow us to store and process Your Data only to provide, secure, support and improve the Service for you, and as the Privacy Policy explains.
  • Your customers' information. You decide what personal information about your farmers and customers goes into the Service. You must have the right to use it and must follow the laws that apply to you, including notifying and getting consent where needed. For that information you are the party in control and we process it on your behalf and your instructions.
  • Access and export. You can view your data and download reports as CSV while your plan is active, and in read-only mode after it ends. You can ask us for a copy of Your Data or for it to be deleted, as described in the Privacy Policy.
  • Backups. We take reasonable steps to protect and back up the Service, but you should also keep your own copies of important records (for example by downloading reports and invoices).

7. WhatsApp & messages

  • To send bills and reminders you link your own WhatsApp number by scanning a QR code. Messages are sent from your number, on your behalf, one by one at a human-like pace.
  • You are responsible for what you send, for having your customers' permission to message them, and for following WhatsApp's own terms and policies and the laws on commercial messages. Do not send spam, unlawful or misleading content.
  • WhatsApp is a third-party service. It may restrict or ban a number for reasons outside our control. We are not responsible for such action, so please use the messaging features sensibly.
  • We also send service messages to your registered mobile number on WhatsApp - for example sign-in and password OTPs, purchase confirmations with your invoice link and plan-ending reminders. These are part of the Service.

8. Acceptable use

You agree not to: use the Service for anything illegal; upload content you have no right to use; try to break, overload, probe or bypass the security of the Service or of another shop's data; access data that is not yours; copy, resell, rent or reverse-engineer the software; use bots or scrapers; share your login with people outside your business; or use the Service to harass, deceive or spam anyone. We may suspend an account that does any of this (see section 13).

9. Your legal duties

  • You are responsible for holding every licence and registration your business needs (for example pesticide, fertilizer, seed and GST registrations) and for selling only what you are allowed to sell.
  • AgroKhata helps you prepare bills, stock records and reports, but it is a tool, not legal, tax or accounting advice. You are responsible for checking that your invoices, GST returns and records are correct and complete. Please take advice from a qualified professional where needed.

10. Availability & support

We work to keep the Service available and secure, but we cannot promise it will always be uninterrupted or error-free. There may be planned maintenance, and problems with internet, hosting, WhatsApp or payment providers can affect it. Support is available through the Contact page on working days (Monday to Friday, excluding public holidays in India), and we aim to reply within 2 working days.

11. Intellectual property

The software, design, text, the name AgroKhata and its logo belong to DMSync Infotech or its licensors. While your plan is active we give you a limited, non-exclusive, non-transferable right to use the Service for your own business. If you send us ideas or feedback, we may use them to improve the Service without owing you anything for it.

12. Third-party services

The Service relies on third parties - for example payment gateways, WhatsApp, hosting and infrastructure providers. They have their own terms, and we are not responsible for their acts, failures or downtime. We choose them with care and use them only as the Privacy Policy describes.

13. Ending your account

  • By you. You can stop using AgroKhata at any time. Because plans are not auto-renewed there is nothing to cancel; the plan simply ends on its end date. You may ask us to close your account and delete your data at any time. A refund is available only as set out in the Refund Policy.
  • By us. We may suspend or close an account if you seriously or repeatedly break these Terms, if payment is reversed or found fraudulent, or if the law requires it. Where it is reasonable and safe we will tell you why and give you a chance to fix the problem first. If we close your account without a fault on your side, we will refund the unused part of your plan.
  • After it ends. When a plan ends, the account becomes read-only: you can still see and download your data, but you cannot add new entries until you renew. Sections that by their nature should continue (for example intellectual property, liability and disputes) continue after the account ends.

14. Warranties & liability

  • We provide the Service with reasonable skill and care. Beyond what the law requires, it is provided "as is" and "as available", and we do not promise that it will meet every need of your business.
  • To the extent the law allows, we are not liable for indirect or consequential loss, such as lost profit, lost business, lost goodwill or loss caused by a third-party service, a WhatsApp ban, or information you entered incorrectly.
  • To the extent the law allows, our total liability to you for any claim related to the Service is limited to the amount you paid us for the Service in the 12 months before the event that gave rise to the claim.
  • Nothing in these Terms excludes or limits any liability that cannot be excluded or limited under the law, such as liability for fraud or for death or personal injury caused by negligence, or any right you have under consumer protection law.
  • You agree to compensate us for losses caused by your unlawful use of the Service or your breach of section 6 (data), 7 (messages) or 8 (acceptable use), to the extent permitted by law.

15. Law & disputes

These Terms are governed by the laws of India. If you have a complaint, please write to us first (see Contact); we will acknowledge it within 48 hours and aim to resolve it within 30 days. If we cannot settle it, the dispute is subject to the jurisdiction of the courts at Rajkot, India , without limiting any right you have under consumer protection law to approach the forum available to you.

16. General

  • Notices. We may contact you through the app, your registered mobile number (WhatsApp or SMS) or email. You can reach us through the Contact page.
  • Events beyond our control. Neither of us is responsible for a delay or failure caused by events outside reasonable control, such as natural disasters, power or internet failure, government action or a failure of a third-party platform.
  • If part of these Terms is invalid, the rest still applies. If we do not enforce a right straight away, we have not given it up.
  • Whole agreement. These Terms, the Privacy Policy and the Refund Policy are the whole agreement between us about the Service. You may not transfer your account to someone else without our written permission.
